7. Tours
The following terms apply to all Archimarathon tour bookings. They sit alongside our broader website terms above.
7.1 Deposits
A 30% deposit of the total tour fee is required to secure your place on the tour. This deposit is non-refundable. Please refer to the cancellation policy below for further details.
7.2 Archimarathon Check-In
To ensure the best possible experience for all parties we will call you for a brief chat after receiving your deposit. This meeting allows us to review tour expectations, address questions, and assess preparedness. Following this consultation, if either party decides not to proceed, the 30% deposit will be refunded in full.
We HIGHLY recommend that participants not book any travel arrangements, including flights and accommodation, until this consultation is completed.
7.3 Zero Tolerance Policy
Archimarathon is a global community, and we pride ourselves on our inclusivity. We are committed to fostering a respectful, inclusive, and safe environment for everyone. At Archimarathon, we have a zero-tolerance policy for racism, sexism, homophobia, transphobia, harassment, bullying, hate speech, offensive language, or abusive behaviour. We reserve the right to remove anyone from our tours at any time if they are in breach of this policy.
7.4 Cancellation Policy and Fees
If Archimarathon cancels the tour, you will be refunded all payments in full.
If you decide to cancel your booking, the following charges apply:
More than 90 days before departure: your initial deposit is non-refundable
90 to 31 days prior: 50% of the total amount is due
30 to 0 days prior: 100% of the total amount is due
Exceptional circumstances
Medical emergencies: in case of illness or injury, documentation will be required, and we may consider rescheduling or offering a partial refund.
Force majeure events: should circumstances beyond our control (such as natural disasters or border closures) prevent the tour from going ahead, a full refund or reschedule option will be offered.
Transfer or rebooking
If you prefer to reschedule your tour instead of cancelling, we will work with you to find available future dates, subject to availability and any price adjustments. Rebooking must occur within 12 months of the original tour date, and the deposit is retained by Archimarathon. Rescheduling requests made less than 30 days prior to the tour departure will be treated as a cancellation, and the full cancellation policy will apply.
Refund processing
Refunds, if applicable, will be processed within 14 days of the cancellation confirmation. Processing times may vary based on your payment method.
7.5 Travel Insurance
To ensure a safe and secure experience, all attendees of Archimarathon tours are required to have their own comprehensive travel insurance. Your travel insurance must cover the following at a minimum:
Medical and health coverage, including emergency medical treatment and hospital expenses
Travel delays and interruptions, for unforeseen delays or changes to your itinerary
Personal liability, in case of injury to others or property damage
Loss or theft, covering baggage and personal belongings
Emergency evacuation and repatriation, including air ambulance and transportation costs
Attendees must provide valid proof of insurance no later than 14 days before the tour departure date. Failure to provide proof may result in exclusion from the tour without a refund. Archimarathon is not responsible for any costs incurred due to insufficient insurance coverage. Attendees are strongly encouraged to review and understand their policy terms to ensure adequate protection for the duration of the tour.
7.6 Changes to Itinerary
While Archimarathon makes every effort to ensure the tour itinerary is adhered to as planned, we reserve the right to make changes to the itinerary. Changes may occur due to unforeseen circumstances such as weather conditions, availability of venues, or other factors beyond our control. Additionally, tour leaders may find additional places of value to enhance the experience. Archimarathon is not liable for any costs or inconveniences caused by itinerary changes.
7.7 Final Payment
The balance of the tour price will be due 30 days prior to the tour commencement date. Payment reminders will be sent as the due date approaches. Failure to make the final payment by the due date may result in cancellation of your booking, with cancellation penalties applied in accordance with our cancellation policy.
7.8 Photography and Media on Tour
We sometimes photograph or film tours for editorial, educational, and promotional use across our website and social channels. By joining a tour you agree we may use images and footage in which you appear, without payment. If you'd prefer not to appear in published material, please tell us in writing before the tour begins and we'll do our best to accommodate.
7.9 Limitation of Liability (Tours)
Archimarathon is not a carrier, event or tourist attraction host, accommodation or dining service provider. Archimarathon is not responsible for the products or services provided by these third parties. Any issues with these services must be addressed directly with the service provider.
Archimarathon will not be liable for any claims (such as sickness, injury, death, damage, or loss) arising from changes, delays, cancellations, breakdowns, accidents, or any other failure caused by the service provider, nor for any acts of negligence. You must purchase adequate travel insurance to cover such contingencies.
